Fab Careers is hiring for one of its clients, an Administrative Assistant (M/F)
Provide administrative support:
Extensively manage calendars. Plan, negotiate and schedule meetings to accommodate managers and others.
Coordinate meetings with internal associates and external contacts.
Schedule meeting rooms, visitor passes and equipment as required.
May compile minutes and distribute follow up materials as required.
Manage complex travel arrangements.
Reserve transport and accommodations taking into consideration manager preferences, cost and timing implications.
Ensure that managers have necessary travel details, such as tickets, confirmation numbers, visas, itineraries.
Complete business expense claims promptly and follow up on reimbursements if necessary.
Produce general correspondence, reports and presentations.
Manage incoming and outgoing mail and correspondence (post, email, etc.).
Cover telephones and take accurate written messages and notes
Provide administrative support for each of the Europe/Asia Governance Committees that are chaired by the Conducting Officers
Risk and Investment Management Oversight
Central Administration & Valuation
Finance, Audit & Legal and Compliance Oversight
Establish a Management Information (MI) schedule for each committee, to be used when planning regular committee meetings.
Prepare agenda packs for each committee, and distribute to committee members
Highly organised and able to anticipate, plan and prioritise and work with changing priorities and can remain calm under pressure.
English language (other languages, such as French, German, Luxembourgish are an asset)
Strong verbal and written communication skills.
Demonstrate initiative by identifying issues and recommending solutions.
Work autonomously and maintain accuracy and attention to detail.
Able to establish positive working relationships with individuals at all levels and working styles.
Show complete discretion around sensitive and confidential information
Demonstrate in-depth knowledge of Microsoft Office (Word, Outlook, PowerPoint, Excel, Share Point, OneNote, OneDrive, Teams …) and other relevant software.
